Every unanswered call is a potential customer choosing a competitor. Enter your monthly call volume, missed call rate, conversion rate and average deal value, and this calculator shows exactly how much revenue is slipping through the cracks each month and each year — plus what a voice AI agent would realistically recover.

What this tool does

Enter your monthly call volume, the share of those calls that go unanswered, your conversion rate on calls you do answer, and your average deal value. The calculator multiplies these into a monthly and annual revenue figure, then models what a voice AI agent recapturing most of those missed calls would be worth net of what it costs to run.

The reason this number is worth calculating rather than guessing: research on caller behavior consistently shows that most callers who reach voicemail do not call back — they call the next business on the list instead. A missed call is not a neutral event. It is usually a lost customer, not a delayed one.

A worked example

A home services business takes 220 calls a month. Roughly 14% go unanswered — during job site work, after hours, or when both lines are busy during a marketing push. That is about 31 missed calls a month.

Of the calls that do get answered, this business converts 25% into booked jobs at an average value of $380. Applying that same conversion rate to the missed calls (a reasonable assumption, since there's no reason a missed caller was less qualified than an answered one) gives a monthly lost-revenue figure of 31 × 0.25 × $380 = $2,945 a month, or $35,340 a year.

Now model the fix. An AI voice agent answering overflow calls typically achieves a 95%+ answer rate, versus roughly 60–70% for a human-only team during peak periods. If the agent recaptures 90% of what was previously missed, that's roughly $31,806 a year in recovered revenue. Against a typical voice agent build cost of $600–$1,500 plus a per-minute running cost — see the Voice AI Cost Per Minute Calculator for the full breakdown — this pays back within the first month or two for most businesses running this kind of call volume.

Why Calls Get Missed

Calls get missed for a small, predictable set of reasons: outside business hours, all lines busy during peak periods, staff on job sites or in meetings, and high-volume spikes after a marketing campaign or seasonal surge. None of these are solved by hiring more staff for peak coverage alone — they're solved by making sure something answers every call, every time.

Two Ways to Recover This Revenue

Immediate: missed call text back. The moment a call goes unanswered, an automatic SMS goes out inviting the caller to reply or book. GoHighLevel Missed Call Text Back covers the full setup — it's the cheapest fix on this list and worth having regardless of anything else you build.

Fuller coverage: an AI voice agent answering every call. Rather than catching the call after it's missed, a voice agent answers it in the first place, qualifies the caller, and books directly into your calendar. How to Build an AI Receptionist covers what that build actually involves.

The two aren't mutually exclusive — many of the builds I do run both together, with missed call text back as the safety net for the rare call the voice agent doesn't pick up.

Where People Get This Wrong

Assuming missed callers convert at a lower rate than answered ones. There's no real basis for this assumption, and it's usually just a way to make the loss look smaller than it is. Model missed calls at your actual answered-call conversion rate unless you have real data saying otherwise.

Counting only the fee, not the full deal value. If your average deal value already accounts for repeat business or referrals from a good customer relationship, use that fuller figure — a missed first call is often a missed relationship, not just a missed transaction.

Ignoring the compounding cost of a bad first impression. A caller who reaches voicemail and doesn't call back often doesn't just skip you this once — they remember it next time they need the same service.

Overestimating what a voice agent recovers. A 100% recovery assumption is unrealistic — some callers still won't engage with an automated system regardless of quality. Model 80–90% recovery, not 100%, for a defensible number.

Frequently Asked Questions

How much revenue does a missed call actually cost a business?

It depends entirely on your call volume, your typical conversion rate, and your average deal value — there's no universal figure, which is exactly why this calculator asks for your own numbers rather than quoting an industry average. For most small businesses taking over a hundred calls a month, the annual figure runs into the tens of thousands of dollars.

Is a voice AI agent really better than just hiring more staff?

For overflow and after-hours coverage specifically, usually yes on cost — a voice agent runs continuously at a fraction of the per-call cost of a human agent, and adds capacity instantly rather than requiring a new hire. For calls during normal business hours where a good receptionist is already answering promptly, the case is weaker; voice agents are strongest as a fix for the calls that are currently going unanswered, not a wholesale replacement.

Should I fix missed call text back or build a full voice agent first?

Missed call text back first, in almost every case — it's cheaper, faster to set up, and catches the immediate loss. A full voice agent is the next step once you want to stop missing the calls in the first place rather than just recovering from having missed them.

What conversion rate should I use if I don't track one?

Pull it from your CRM if you have booking or deal-close data; if you don't, a conservative estimate based on your industry is a reasonable starting point, but treat the output as directional rather than exact until you have real data to refine it.

Does this apply to businesses that mostly get calls during business hours?

Yes — even businesses with good daytime coverage miss calls during busy periods, lunch breaks, and when multiple calls come in at once. The 24/7 framing matters most for businesses with after-hours demand, but the core leak — calls going unanswered during any busy stretch — applies broadly.

Voice AI Cost Per Minute Calculator breaks down what an AI voice agent actually costs to run once you know what it's worth recovering. GoHighLevel Missed Call Text Back covers the fastest fix, and How to Build an AI Receptionist covers the fuller voice agent build.
