WhatsApp is not priced like SMS. Cost depends on the message category, the recipient's country and whether a free window is open — not on message length. Enter your volumes by category to get a monthly estimate.
What this tool does
Enter how many template messages you expect to send each month in each category, along with the per-message rates for your recipients' countries, and the calculator returns a monthly total broken down by category. It also models the two things that reduce the bill: free-entry-point conversations and the free service window.
Rates are inputs, not constants. WhatsApp pricing is set per country and per category and Meta revises it periodically, so take your figures from Meta's WhatsApp pricing documentation for the markets you actually message.
A worked example
A clinic sends appointment reminders and confirmations to 2,000 patients a month. Those are utility messages. It also runs a monthly promotion to a 5,000-contact list — marketing messages, at a materially higher rate in most countries. Patients who reply with a question generate service messages, which are free within the window that opens when the customer messages first.
The instinct is to treat all 7,000 as one number. The bill does not work that way: the 5,000 marketing messages will usually dominate the total, and the 2,000 utility messages cost a fraction of it. Splitting the volumes by category is the entire point of the exercise, and it is what tells you whether the promotion is worth running.

Where people go wrong
Categorising a marketing message as utility. Meta reviews template content, and a "reminder" that includes an offer will be reclassified — usually after you have budgeted at the utility rate. Write templates that do one job.
Ignoring the free service window. When a customer messages you first, replies within the window cost nothing. Designing your flow so customers initiate — through a click-to-WhatsApp ad or a website button — moves conversations into the free category.
Assuming length matters. It does not. A WhatsApp message is priced the same whether it is ten characters or a thousand. That is the opposite of SMS, where the segment calculator exists precisely because length drives cost.
Forgetting the BSP's own margin. Most businesses reach the API through a Business Solution Provider, and many add a markup or a platform fee on top of Meta's rate. Enter your effective rate, not Meta's list rate.
Budgeting one country's rate across a global list. Per-message rates vary enormously between markets. Weight your estimate by where your contacts actually are.
FAQ
Is WhatsApp cheaper than SMS?
Sometimes, and it depends entirely on category and country. Utility and authentication messages are often cheaper than SMS in markets with expensive local termination; marketing messages frequently are not. The advantage is usually delivery and engagement rather than unit cost.
What counts as a free entry point?
A conversation started by the customer from a click-to-WhatsApp ad or a Facebook Page call-to-action opens a free window. Meta's pricing documentation defines the current rules and window length.
Do I need a template for every message?
For any business-initiated message, yes, and it must be approved in advance. Inside an open customer service window you can send freeform messages.
Can I use my existing business number?
Only if it is not already registered on the WhatsApp consumer or Business app. Migrating a number is possible but it must be deregistered first.
How accurate is this estimate?
The arithmetic is exact. The accuracy depends on your category split and your country mix, which are the two assumptions worth stress-testing.
